Position Description

Job Title:              Office Manager

Reports to:           Business Manager

Position Summary

The Office Manager is the first point of contact for parishioners and visitors to the parish and is responsible for a wide variety of office management and administrative duties. 

Duties and Responsibilities:


  • Greets and welcomes all who come to, or call, Parish Office
  • Registers new parishioners
  • Directs calls and messages as necessary
  • Handles routine questions about policies and parish activities
  • Processes and distributes incoming mail

Office Management

  • Manages parish and school purchasing of office supplies, janitorial, maintenance items
  • Assists in tuition and tuition assistance management
  • Reviews and codes vendor invoices for payment
  • Manages Child Safety program as Child Safety Coordinator
  • Maintains parish census and related information in Servant Keeper
  • Maintains sacramental registers and Parish Helper online
  • Manages We Make A Difference pledge database
  • Maintains meeting room schedule
  • Maintains petty cash account
  • Coordinates funerals with celebrant and funeral home; secures musicians, server, choir and funeral luncheon teams as needed
  • Manages various license files and activity (boiler, elevator, liquor, festival, etc.)


  • Records weekly and special contributions in donor database in Servant Keeper
  • Schedules mass intentions and prepares mass cards as needed
  • Fills parishioner and school family TAP orders and ensures certificate security
  • Maintains office supplies for Parish Office
  • Assists Business Manager, Pastor and staff as needed


  • Prepare Status Animarum reports annually
  • Prepares St. Louis Review report for archdiocese annually
  • Prepare and send annual contributions statements to all donors at calendar year end

Knowledge & Experience Requirements

Three to five years of general office and related experience.   Must have strong Microsoft Office skills (Word, Excel, Publisher a plus) and ability to learn new systems. Should be a practicing Catholic with strong interpersonal skills.

Skills & Attitudes Required for Success in Position

Must be well organized and able to work without constant supervision.  Must be able to work with a variety of people with professionalism and confidentiality.
